1. Define the product before discussing price

Name the actual door system: PVC foil-finished, melamine-faced, hollow-extruded WPC, HPL/CPL-faced, moulded-skin, steel service door or another stated construction. Avoid using a broad label such as “paint-free door” as the full specification.

  1. Destination country and buyer type: distribution, project, brand/OEM or retail program.
  2. Product system: actual surface and construction route.
  3. Door leaf size: width, height and thickness in millimetres.
  4. Wall thickness or frame depth: separate from the leaf thickness.
  5. Quantity and model mix: total sets, sizes, designs and color split.
  6. Finish reference: physical sample, code, texture, gloss and grain direction where relevant.
  7. Leaf construction: face substrate, core or infill, edge and lock reinforcement.

2. Write the complete doorset scope

“Complete set” has no dependable universal meaning. A low quotation may include only the leaf and basic frame, while another includes casing, seals, hardware and machining. Write each item separately.

  1. Frame: material, profile, jamb width or adjustability, finish and seal groove.
  2. Architrave or casing: one side or two sides, profile, width and finish.
  3. Hardware: hinges, lock, handle, closer, stopper, viewer and other scheduled items.
  4. Machining and handing: factory holes, hinge preparation, lock preparation, opening direction and room schedule.
  5. Performance evidence: exact standard, rating and destination acceptance where required. Never infer fire, acoustic or security performance from an image or core.
Fire-door boundary

A core report or generic factory statement is not evidence for a complete fire-rated doorset. The quoted leaf, frame, seals, glazing, hardware and installation conditions must match valid evidence accepted for the destination.

3. Make the commercial basis comparable

  1. Packing and loading: carton or crate, protection, palletization, labels, spare parts, mixed models and container assumptions.
  2. Named Incoterm and port: for example, FOB Ningbo, Incoterms 2020, or CIF Jebel Ali, Incoterms 2020.
  3. Timing and payment: sample approval, production lead time, required arrival date, payment terms and quotation validity.

Also state exclusions. Installation, local transport, customs, duties, destination testing and third-party inspection should never be assumed unless they are written into the quotation.
